Question : termed employees emails - best practices

With termed employees, we delete their mail account and add an alias to another employees account so they receive the mail.  However, our CFO is the recipient of a termed employees email but it comes to his inbox as him.  He received an email that was originally addressed to her that said her cpa license had expired.  He called today all worried and discovered it was an email directed to her not him.  It was her email but it looked like it was his.

So how does everyone else route termed employees emails?  We need it to show that previous employees name on the emails going to the alias so we can distinguish them.

Answer : termed employees emails - best practices

We do the same thing exporting and deleting the mailbox.   You can create a rule in Outlook to move incoming to a specific folder:

Example
Create a folder under Inbox called Joe User

Create a rule:
Message arrives with specific words in the message header ([email protected]) move to the Joe User
